Registrar - Things to Know
1. When can I register for next semester?
Returning students may register beginning in November for Spring classes and in April for Fall and Summer classes. Notices regarding specific Priority Registration dates are mailed to current students each semester. Returning students are encouraged to meet with an academic advisor to plan courses prior to registration. Students entering degree or certificate programs will be notified by the Admissions Office regarding when they will be scheduled for classes with an advisor. New students wishing to register for classes without matriculating into a program may do so at the end of the Priority Registration period.
2. What is CCGS (Cooperating Colleges of Greater Springfield) cross registration?
The Cooperating Colleges of Greater Springfield is an educational consortium composed of eight (8) public and private colleges in the Greater Springfield area. Cross registration has been established so that in each semester any CCGS student attempting at least six (6) semester hours in a degree program may enroll at another CCGS college for any regular-term day division course that is not offered at his or her own institution, as long as the desired course is not over-subscribed. The student is billed by his/her home institution for the course. CCGS institutions include Springfield College, American International College, Baypath College, Western New England College, Westfield State College, Elms College and Holyoke Community College.
3. How can I obtain my academic transcript?
All transcript requests must be sent in writing to the registrar's office or a student may come in person to the office. Transcript requests cannot be accepted via email, telephone or fax. There is a $3.00 fee charged for each official transcript. STCC adheres to all FERPA regulations and no information is released over the telephone.
When requesting a transcript please list a complete name (maiden name, if there is one), social security number, approximate dates of attendance, complete address where the transcript is to be sent, and a $3.00 fee per request (check made payable to STCC); the process takes two (2) business days. A student may obtain an unofficial transcript which also takes two working days. The Registrar's Office must also have a written release for an unofficial transcript, but there is no charge. Alternatively, students may view their unofficial transcripts on WebAdvisor at any time.
4. May I repeat a course to try to improve my grade?
Yes, but both grades will appear on your academic transcript. Only the last occurrence will be calculated into the Q.P.A. A course cannot be repeated more than two times.
5. How can I petition to have a grade changed?
A student must first discuss this with his/her professor. The professor would submit the grade change form to his/her division dean for approval and then it is forwarded to the Registrar's Office. The total process takes two to three weeks.
6. How late can I withdraw from a class?
A student may withdraw from a course or the college after the Add/Drop period through the twelfth week of classes (in summer sessions, withdrawal periods are shorter). Courses are recorded on the official transcript as "W's". There is a deadline each semester for withdrawals.
7. How do I audit a course?
A student must declare an intention to audit a class before the end of the Add/Drop period; audit forms are available at the Registrar's Office. The decision to audit a course cannot be reversed at a later date. Please note that audits incur the same tuition and fees as a for-credit registration.
8. What is a directed study?
A directed study is an independent study that a student initiates with a professor. Forms are obtained at, and must be returned to, the Registrar's Office. The last day to submit a directed study form is the last day of Add/Drop.
9. What do I have to do as I near graduation?
When a student is in his/her last semester, he/she must fill out a potential graduate form with the Registrar's Office. Deadlines are posted each semester. This form is what is used to order a student's diploma and to put him/her on the graduation list. You may download the form here.
10. What information is included on an Enrollment Verification Report (available in the Registrar's Office)?
The enrollment verification report includes SS#, name, dates of enrollment and anticipated graduation dates.
11. Where is the Registrar's Office located, and what are the office's business hours?
The Registrar's Office is located on the first floor of Building 15 (Garvey Hall South). The hours are Mondays-Thursdays 8:00am to 7:00pm, and Fridays 8:00am-4:00pm. The phone number is 413-755-4321.
